A ship-provision requisition with halal requirements at Cam Pha

Dietary requirements written into the food list

The provision scope requested boneless beef, whole chicken and boneless lamb with halal requirements, alongside sea fish, vegetables and other stores. Recording the requirement on the individual lines helps define what must be sourced; it should not be replaced by a general description such as meat supply.

Weight and piece counts are different requirements

The list used kilograms for beef, lamb and fish, but pieces for whole chickens. The chicken description also contained weight ranges that needed to be reconciled during order preparation. The useful step is to confirm the acceptable bird weight and preserve the requested piece count, rather than convert the order into an assumed total weight.

For a similar order, provide the halal documentation required, the cut, chilled or frozen condition, weight range and pack size. Product selection and any substitution should follow the agreed requisition.

Quality conditions alongside the purchase order

The purchase-order correspondence asked for good-quality products with long expiry dates and reserved the master's right to reject unsound, damaged or unsuitable items. These are receiving requirements, so they need to be considered with the item list and the timing of the port call.

The appropriate planning questions are the minimum remaining shelf life, the desired product condition and who will receive the goods onboard. Required product documents should be agreed with the order.
