Begin with the vessel’s actual Cua Lo receiving point

SVC supplies provisions and ship stores against the vessel’s confirmed requisition and appointed receiving arrangements. State the actual berth, terminal or anchorage. A Cua Lo call, a Vissai receiving instruction and a nominated offshore transfer point need their own access and delivery details; the port name alone is not enough to dispatch a truck.

Send the latest ETA and sailing window with the vessel-side or agent receiving contact. Identify whether the order goes to the vessel, a terminal receiving point or an appointed launch point. Keep land transport, transfer and onboard receipt visible as separate stages of the delivery instruction.

Prioritise the galley’s first receiving needs

For a short call, identify the food needed first rather than treating every line as equally urgent. Separate fresh, chilled, frozen and dry goods, with quantity, unit and pack size on each line. Give the preferred brand and acceptable alternatives before SVC purchases the order.

Crew numbers, menu preferences and the intended supply period help define the requisition. Specify dietary restrictions and any item-specific certification required. SVC proposes products against those requirements; an agreed substitute should retain its own description and quantity on the supply record.

Match packing and handover to the transfer arrangement

Confirm how food will move from the delivery vehicle to the vessel and who will accept it. Chilled and frozen goods need an agreed handling and receiving arrangement for the actual journey. Keep food groups identifiable, and do not assume that a waiting period at a gate or launch point is part of the confirmed receiving window.

When the berth, launch point or ETA changes, send the new instruction before dispatch. Where only part of the order can be received, record what went aboard and keep the remaining quantities explicit. A receipt for one load should not imply that every line in the original enquiry was delivered.

Deck, engine and cabin stores remain separate line items

Add hoses, tools, gaskets, filters, cleaning products or cabin consumables under their own descriptions and units. A hose order needs the required size, connection and use; a machinery component needs its equipment reference. This avoids treating similar-looking stores as interchangeable.

For an example of the identification work, see the separate ship-store hose connection case. The national ship-stores service covers the broader procurement scope. Installation, repair and testing require their own appointment.

Include bonded-store enquiries as their own list

Where bonded stores are requested, send a distinct requisition with product, brand, pack size, quantity and vessel-call details. SVC confirms the proposed availability, supply arrangement and documents for the particular order before dispatch. The food or technical-store quotation does not automatically confirm the bonded-store lines.

Also serving Son Duong, Vung Ang and Nghi Son

SVC also accepts supply enquiries for Son Duong, Vung Ang and Nghi Son. If the vessel plans a later call, mark the remaining lines and intended receiving port instead of duplicating the whole order. The next delivery is confirmed against that call’s own schedule and receiving instructions.

For combined regional planning, see Vung Ang and Son Duong provisions and bonded stores. Keep the Cua Lo quantities received, the items still required and any changed substitutions identifiable.

Can a provision order include urgent technical stores?

Yes. Send the food list and technical list as identifiable groups, with priority lines and the receiving window. SVC confirms the available products and the delivery scope; an urgent description alone does not establish stock or an immediate delivery promise.

What if the vessel can receive only a partial delivery?

Agree the actual quantities to be dispatched, obtain the receiver’s record for that load and list what remains. SVC can review a later receiving window or another port call against the remaining requisition. For the general food-order scope, see ship provisions in Vietnam.
